POLICY MAINTENANCE OF PERSONAL RECORDS

 

Personal Records are very important documents of the workers whose proper maintenance is of utmost importance. All pertinent information of an individual will be maintained in the Personnel File. Personal files will be maintained by the HR officer of the factory. The moment a worker is given an appointment, the admin office will open his/her personal file.

 

The following documents will be maintained in the personal file.

• Appointment letter

•Job application form.

• Medical Fitness Certificate/Age estimation form.

• Nationality Certificate

• Awareness form.

•Job history

• Performance Appraisal.

 

All entries pertaining to discipline and other related information will be maintained in the Personnel File. Personal Files will be maintained in the HR Office of the factory.

 

Whenever any worker leaves the factory his personal file will be shifted to the locker of Lefty Workers Files locker. All-access control items like ID photocopy of his service books etc will be maintained in the Lefty Workers File.

 

Present workers' files will be periodically reviewed to make sure that all the entries are correct and the procedure is in place.

 

In the event of loss of a personal file takes place then a proper investigation will take place to determine the cause of the loss.

 

The personal files will be treated as confidential documents and can be accessed by authorized persons only. In the factory, only the HR manager can access personal files.
